Know how each job is going before anyone asks
Each job opens with its progress against schedule, what is still to be collected and the week's priority, with who approves each amount
For contractors: each job with its drawing read, its progress against schedule, its payments and its documents on one board, and an agent that prepares what a person decides.
Drawings were checked by eye against the quote, and a forgotten item was found only once work was under way. Progress arrived in scattered messages. Progress billing, costs and collections lived in different spreadsheets, and each supplier's paperwork was chased by hand.
Each drawing comes out with its items and its gaps in view, each job with its progress against schedule, and each payment with the document that backs it.
The drawing is compared item by item against what was quoted before asking for a price.
Each activity with its variance calculated and its owner, without relying on a stray message.
Amounts are added up by currency, with their retention and net, and each figure comes with its document.
Costs, payments, suppliers and documents for each job in one place, with who approves what.
Each job opens with its progress against schedule, what is still to be collected and the week's priority, with who approves each amount
The drawing is read, its items are compared against what was quoted and the supplier request is drafted; a person reviews before sending
The report is read, each activity is compared against its schedule and field notes become agreements with an owner and a date
Each job shows its money in one row and each document is checked with fixed rules for retention, net, currency and duplicates
Each supplier is seen with their trade, their performance and the jobs where they work, before asking them for a quote
Each document is kept in a file per job with its validity; anything expired or missing is flagged and requested from there
The agent answers with the job's data and what has already been reviewed; it prepares and proposes, and decisions remain with people
This project started with a contractor running several jobs at once, with drawings, progress billing and progress reports scattered across emails, spreadsheets and messages.
A drawing item that never reached the quote, a progress billing without its support or a supplier's expired insurance was found only when it already cost money. Actual progress was known late, and collection depended on who remembered.
