SAT invoice validation, from download to cancellation with the supplier
For companies with multiple legal entities: each received invoice is downloaded from the SAT and checked against rules. If something fails, cancellation with the supplier is tracked through its acknowledgment.
What it solves
The problem
Manually reviewing invoices received by several legal entities was slow, and errors slipped through. XML files were downloaded with a separate program, cancellations were requested from suppliers by email without follow-up, and SAT requests could expire without a response.
What it does
An agent layer that works with the existing SAT portal and download service, email and accounting system. It downloads each invoice, checks it against fixed rules and with AI, drafts the email to the supplier, monitors the portal and carries out the decision. A person decides what to request from the supplier, what to accept or reject with the SAT and which new rule to add.
The result
Every received invoice is reviewed the same day, with each failed rule explained, and every cancellation appears on a dashboard with its deadline, person responsible and acknowledgment.
How it looks

Run by the system
It downloads SAT invoices every 6 hours for each legal entity, validates them with deterministic rules and AI, alerts the person responsible for the region, follows up and escalates if no one acts, drafts the email to the supplier, checks the SAT portal for cancellation requests and carries out the recorded decision in the portal, saving its acknowledgment.
Decided by a person
Whether to ask the supplier to cancel or replace a flagged invoice or to archive it, whether to accept or reject a SAT cancellation request, which alerts to mark as resolved and which new rules to add, with what consequence and message.
- Every invoice reviewedEverything the legal entities receive goes through the same rules on the same day.
- Errors explainedEach finding states which rule failed, what was expected and what the invoice contained.
- No SAT deadline is missedRequests arrive with a countdown, and the decision is carried out automatically in the portal.
- Rules without codingA new rule is written in plain language and tested before activation.
“This project began with a company with several legal entities that reviewed incoming invoices one by one and followed up on cancellations by email.”
XML files were downloaded with a separate program, reviews depended on who had time, and SAT cancellation requests arrived with a deadline no one was tracking.
