Collections · demo with sample data

Collections across all regions, from each store's daily close to the applied payment

For distributors with multiple regions: receivables come from each store's point of sale, reminders go out according to rules, and each payment is applied after a person's review.

What it solves

The problem

Following up on receivables across several regions was manual work. Reminders went out one by one, proof of payment got lost in email, payments were applied without a clear order, and finding out how much was owed required combining each store's daily close.

What it does

An agent layer that works alongside each store's point of sale, email, WhatsApp and reconciliation spreadsheets. It receives and validates each store's daily close, reads proof of payment sent to the collections inbox, sends reminders under fixed rules and answers questions in read-only mode. A person decides whether to verify a payment, apply a payment or save an import.

The result

Receivables across all regions appear on one screen as of the daily close, each reminder goes out on time and within policy, and each payment is verified, applied and recorded with a reference number and a person responsible.

Run by the system

It receives and validates each store's daily close, calculates balances and aging by region, escalates follow-up by email, WhatsApp and phone according to policy, reads proof of payment from the collections inbox, proposes which invoices a payment should be applied to and answers questions about receivables without changing data.

Decided by a person

Which proof of payment is verified or rejected and which customer it belongs to, which invoices each payment is applied to, whether a daily close is saved, which new customer is approved and when a case moves from automatic follow-up to a person.

“This project began with a distributor operating in several regions that handled collections manually, region by region and customer by customer.”

Each store recorded sales and payments in its own point of sale. Finding out who owed money and since when required combining daily closes, reminders depended on someone sending them, and proof of payment arrived separately by email.
