The business before
Accounting, Tax, Treasury and the regional offices shared information, but not a single source of truth. Every CFDI was reviewed invoice by invoice and location by location. Status with the tax authority was checked by hand and decisions were coordinated over email. The same case got different criteria, follow-up went missing, and reports and DIOT filings meant entering everything twice.
What we did
A flow that connects download, validation, the official query to the tax authority, tax rules and execution, with one shared exception inbox for all seven legal entities. The system applies the same criteria to every one of them. The authorised person decides to accept, reject or replace, and each decision is recorded with who, when and the evidence for that invoice. Email stopped being the source of truth and became a notification.
Run by the system
It receives the XML, extracts and normalises it, queries the tax authority, applies tax rules, builds the exception inbox, executes and stores the receipt.
